When those meetings are recorded and transcribed or their data becomes available to AI-powered digital assistants, their impact increases.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Although these features have proven to be incredibly useful to our employees and our wider organization, there are also concerns about how retaining Microsoft Teams meeting data might affect our security posture, records retention policy, and privacy. Within a meeting, the <a href=\"https:\/\/cm-edgetun.pages.dev\/en-us\/microsoft-365\/copilot\/copilot-for-work\" target=\"_blank\" rel=\"noreferrer noopener\">Microsoft 365 Copilot<\/a> sidebar experience helps our late-joining employees catch up on what they&#8217;ve missed, provides intelligent prompts to review unresolved questions, summarizes key themes, and creates notes or action items.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The helpfulness of these tools is clear, but data-retention obligations introduce challenges that organizations like ours need to consider. First, producing and retaining this kind of data can be complex if it isn&#8217;t properly governed. Second, data-rich artifacts like video recordings occupy a lot of space, eating up cloud storage budgets.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"wp-block-paragraph\">&#8220;We tend to think of the recordings we make during meetings as an individual\u2019s data, but they actually represent the company\u2019s data,&#8221; says Rachael Heade, director of records compliance for Microsoft Corporate, External, and Legal Affairs (CELA). &#8220;We want to empower individuals, but we have to remember that retention and volume impacts of these artifacts on the company can be substantial.&#8221;<\/p>\n<\/blockquote>\n\n\n\n<p class=\"wp-block-paragraph\">In light of these potential impacts, some organizations simply opt out of enabling Microsoft Teams meeting recordings.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Asking the right questions to assemble the proper guardrails<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Our teams in Microsoft Digital and CELA, our legal division, are working to balance the benefits of Microsoft Teams meeting data retention with our compliance obligations to provide empowering experiences for our employees while keeping the company safe.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">&#8220;Organizations are always concerned about centralized control over the retention and deletion of data artifacts,&#8221; Heade says. &#8220;You have excited employees who want to use this technology, so how do you set them up so they can use it confidently?&#8221;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Like many policy conversations, getting this right starts with our governance team in Microsoft Digital and our internal partners asking the employees from across the company who look after data governance the right questions:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"wp-block-list-item\">When should a meeting be recorded and when should it not? <\/li>\n\n\n\n<li class=\"wp-block-list-item\">What kind of data gets stored?<\/li>\n\n\n\n<li class=\"wp-block-list-item\">Who can initiate recording, and who can access it after the meeting?<\/li>\n\n\n\n<li class=\"wp-block-list-item\">How long should we retain meeting data?<\/li>\n\n\n\n<li class=\"wp-block-list-item\">Where does the data live while it&#8217;s retained?<\/li>\n\n\n\n<li class=\"wp-block-list-item\">How can we control data capture and retention?<\/li>\n\n\n\n<li class=\"wp-block-list-item\">What does this mean for eDiscovery management?<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">These questions help us think about the proper guardrails. Our IT perspective is only one part of the puzzle, so we&#8217;re actively consulting with CELA, corporate security, privacy, the Microsoft Teams product group, the company&#8217;s data custodians, and our business customers throughout this process.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"wp-block-paragraph\">&#8220;As an organization, this is about thinking through your tenant position and getting it to a reasonable state,&#8221; says David Johnson, tenant and compliance architect with Microsoft Digital.<\/p>\n<\/blockquote>\n\n\n\n<p class=\"wp-block-paragraph\">Our conversations have brought up distinctions that any organization should consider as they build policy around Microsoft Teams meeting retention:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"wp-block-list-item\"><strong>The length of time <\/strong>a meeting&#8217;s data remains fresh, relevant, or useful<\/li>\n\n\n\n<li class=\"wp-block-list-item\">The difference in retention value between <strong>operational and informational meetings<\/strong>, for example, weekly touchpoints versus project kick-offs or education sessions<\/li>\n\n\n\n<li class=\"wp-block-list-item\">The different risks inherent in <strong>recordings compared to transcriptions<\/strong><\/li>\n\n\n\n<li class=\"wp-block-list-item\">Establishing <strong>default policies<\/strong> while allowing <strong>variability and flexibility<\/strong> when employees need it<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>Long-term retention<\/strong> for functional artifacts like demos and trainings<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">From sharing perspectives to crafting policy<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Our policies around Microsoft Teams meeting data retention continue to evolve, but we&#8217;ve already implemented some highly effective practices, policies, and controls. Every organization&#8217;s situation is unique, so it&#8217;s important that you speak to your legal professionals to craft your own policies. But our work should give you an idea of what&#8217;s possible through out-of-the-box features within Microsoft Teams.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The policies we&#8217;ve put in place represent a mix of technical defaults, meeting options, and empowering employees to make informed decisions about usefulness, privacy, and security. They also build on the foundations of our work with <a href=\"https:\/\/cm-edgetun.pages.dev\/insidetrack\/blog\/microsoft-creates-self-service-sensitivity-labels-in-microsoft-365\/\">sensitivity labeling<\/a>, which is helping secure data across our tenant.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"wp-block-list-item\"><strong>Transcript attribution opt-out<\/strong> gives employees agency and reassures them that we honor their privacy.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>User notices alert employees when a recording or transcription starts<\/strong>, giving them the opportunity to opt out, request that the meeting go unrecorded, or leave the call.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>Nuanced business guidance from CELA <\/strong>through an internal <em>Recording Smart Use Statement<\/em> document helps employees understand the implications of recording and when it may not be in the company\u2019s best interest to record, such as meetings about highly confidential topics or sensitive issues.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>We recommend that employees &#8220;tell and confirm&#8221; with meeting participants before initiating recording, transcription, or the Facilitator feature. <\/strong>This empowers and supports our people to speak up when they don&#8217;t believe the meeting should be recorded, such as when they have a sensitive topic to discuss.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>We didn&#8217;t wait for <\/strong><a href=\"https:\/\/learn.microsoft.com\/en-us\/microsoftteams\/teams-recording-policy\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>Compliance Recording<\/strong><\/a><strong>.<\/strong> Although this choice would require that a user consent to recording before unmuting themselves, we decided that opt-outs and user notices provide sufficient agency to our employees.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><a href=\"https:\/\/cm-edgetun.pages.dev\/insidetrack\/blog\/sensitivity-labeling-a-new-layer-of-security-for-microsoft-teams-premium-meetings\/\"><strong>Meeting labels that limit who can record<\/strong><\/a> mean that only the organizer or co-organizer can initiate recordings for meetings labeled &#8220;highly confidential.&#8221; Our learnings from limiting who can record show that this poses risks, as users may under-label the meeting. Organizers do not always join their meetings or add co-organizers. We recommend limiting this practice to labels that need significant recording limits.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>Meeting templates can apply policies based on the meeting\u2019s purpose.<\/strong> Some business processes may require controls on recordings and transcripts, regardless of the meeting label applied. We have several organizations for which we\u2019ve configured meeting templates that can be viewed only by users within the org. This also allows us to incorporate other important meeting options into the template as well, so users don\u2019t have to remember to set them manually.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>Only meeting organizers can download meeting recordings, <\/strong>which keeps the meeting data contained and restricts sharing.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>The default OneDrive and SharePoint recording expiration is set to 90 days, <\/strong>to minimize the risk of data leakage and avoid cloud storage bloat.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>Forced retention policies.<\/strong>&nbsp;Another option that organizations might consider is forced auto-deletion, which can\u2019t be adjusted by the end user indefinitely. This is an additional method for instituting a higher level of control on the back end, further limiting the risk of data leakage and overloaded cloud storage.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">All these policies reflect three core tenets we use to inform our governance efforts: empower, trust, and verify.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"wp-block-paragraph\">&#8220;The bottom line is that we rely on our employees to be good stewards of the company,&#8221; Johnson says. &#8220;But because we&#8217;ve got a good governance model in place for Teams and good overall hygiene for our tenant, we&#8217;re well set up to deal with the evolution of the product and make these decisions.&#8221;<\/p>\n<\/blockquote>\n\n\n\n<p class=\"wp-block-paragraph\">We can&#8217;t recommend that any organization follow our blueprint entirely, but asking some of the same questions that we have can help build a foundation.
